Privacy Policy

Bekin operates EvalPro, a web-based educator evaluation platform. This Privacy Policy explains how we collect, use, and protect information in connection with the platform. EvalPro is designed for use by school districts and their staff, and we take the privacy of students and educators seriously.

1. Information We Collect

We collect information that district administrators and staff provide directly, including:

  • Staff account information (name, email address, job title, school assignment)
  • Observation notes, evaluation scores, and educator performance records
  • Professional goals and self-assessment responses
  • Usage data (login timestamps, feature interactions) for product improvement

We do not collect or store student personally identifiable information (PII) as a primary data controller. Any student data incidentally referenced in observation notes is subject to the district’s own FERPA obligations.

2. How We Use Information

We use information solely to provide and improve EvalPro services, including:

  • Generating evaluation reports and AI-assisted narrative drafts
  • Sending notification emails on behalf of district administrators
  • Aggregating anonymized usage statistics for product improvement

We do not sell, rent, or share educator or student data with third parties for commercial purposes.

3. Data Storage and Security

EvalPro stores data in Supabase (PostgreSQL), hosted on AWS infrastructure in the United States. We implement row-level security, encrypted connections (TLS), and role-based access controls. Data at rest is encrypted using AES-256.

Access to production data is restricted to authorized Bekin personnel with a business need.

4. FERPA Compliance

EvalPro is designed to support district FERPA compliance. Educator evaluation records are treated as confidential personnel records. Access within the platform is limited by role — teachers may only view their own records, and administrators see only the staff in their assigned district.

As a School Official acting under the direction of the district, Bekin agrees to use education records only for the purpose of providing the platform service, consistent with 34 CFR § 99.31(a)(1).

5. Data Retention

Districts control the lifecycle of their data. Evaluation records, observations, and goals are retained for the duration of the district’s active subscription plus a grace period of 90 days. Hard-deleted records are moved to a temporary recycle bin for 7 days before permanent deletion. Upon contract termination, we will provide a data export and permanently delete district data within 30 days upon request.

6. Third-Party Processors

We use the following sub-processors to deliver services:

  • Supabase — Database and authentication (AWS us-east-1)
  • Vercel — Application hosting and edge delivery
  • SendGrid (Twilio) — Transactional email delivery
  • Anthropic — AI-assisted evaluation narrative generation (no data retained by Anthropic per enterprise agreement)

7. Your Rights

Staff members may request access to, correction of, or deletion of their account data by contacting their district administrator. Districts may submit data requests to support@schoolevalpro.com.

8. Changes to This Policy

We may update this Privacy Policy periodically. Material changes will be communicated to district administrators via email. Continued use after the effective date of changes constitutes acceptance.
